Position Summary:
Provide ongoing assistance to the CEO and President, ensuring the professional and smooth execution of all corporate administrative duties and allowing the CEO and President to focus effectively on the leadership of the company. Reports to: CEO and President

Areas of Responsibility:
I. Executive Assistance. A. Intercept phone calls and route and/or return calls as appropriate. B. Schedule appointments and meetings, and manage calendar. C. Maintain and update Outlook schedule and contacts. D. Schedule travel and make travel arrangements. E. Manage travel reward programs (e.g., Dividend Miles). F. Manage mail and e-mail, and screen and prioritize correspondence. Respond to emails as appropriate. G. Draft correspondence as directed. H. Manage subscriptions and publications. I. Reconcile the corporate credit card bills and expenses for payment. J. Organize and manage files. K. Provide support for affiliations with outside associations or agencies, and assist in preparing for professional association meetings or activities. L. Maintain databases. M. Take and distribute minutes at all required meetings. N. Assist with any personal business as necessary. O. Prepare the Annual Budget for Administration. P. As received, code Administration invoices for payment and submit to accounting in a timely manner.
II. Project Assistance. A. Process and manage data/information from a variety of sources, and organize, track and format data for effective analysis and accessibility. B. Consistently track and expedite various projects and initiatives C. Research and analyze assigned initiatives and projects, and create reports on findings. D. Create support material for presentations.
IV. General Duties. A. Assist with the planning and coordination of division retreats, functions and events. B. Assist with event registration and associated travel. C. Assist with all other special tasks and projects as directed. D. Provide clerical support to the Sr. Management team on an as-needed basis. E. Assist consultants with meeting arrangements and travel. F. Maintain confidentiality at all times. Secure files and documents as appropriate.
